Before work begins
If you cancel an engagement before any paid work has started and before the agreed kickoff, prepaid fees for that unused engagement are generally refundable, less any non-refundable third-party costs already incurred at your request. If Bytewillow Logic cannot accept a request or determines before kickoff that the work is outside scope, prepaid fees for that unused engagement will be refunded to the original payment method.
After work begins
Once discovery, inspection, modeling, or report drafting has started under an agreed scope, fees for completed or in-progress work are typically non-refundable. Unused prepaid portions for clearly defined future phases may be reviewed case by case and credited or refunded at Bytewillow Logic’s discretion. Advisory fees cover reserved time and work performed, not a guaranteed technical or business outcome.
Deposits & prepaid fees
Deposits that reserve calendar time or prioritize a start date may be non-refundable if cancellation occurs within the notice window stated in your engagement confirmation. Where no notice window is stated, a reasonable commercial assessment will apply.
Retainers
Cancellation, unused hours, and refund terms for a fractional CTO or ongoing advisory retainer are stated in its written agreement, including billing frequency, renewal date, required notice, and any nonrefundable fees.

Send cancellation, reschedule, or refund requests to client@bytewillowlogic.com or call +1 (502) 244-3918. Include the engagement name, the date work was scheduled or started, and the outcome you are requesting. We will review the service record and reply with the applicable next step.
